The short version
- We keep only what SphereClerk needs: your license record from TREC, the details you type in, your email, and your payments through Stripe.
- We never ask for, keep or email a homeowner’s email, phone or address. A first-year calendar holds a buyer’s first name, county and closing date, and nothing else.
- We do not sell or share your information, and we use no ad trackers or tracking cookies.
- You can download everything we hold about you, fix it, or delete it.

Who we are
SphereClerk (sphereclerk.com) is operated by Delvir Limited Liability Co., a Wyoming limited liability company, 30 N Gould St, Ste R, Sheridan, WY 82801, United States. Delvir is the controller of the personal information described here. Reach us at team@delvir.co.
What we collect, and why
- Public license records. When anyone looks up a Texas license number, we fetch that license from TREC’s public records through the State of Texas open-data portal: name, license type, status, original and expiry dates, county, and sponsoring broker’s license number and name. We use it to build the free license page and to pre-fill a member’s profile.
- Your email address, when you ask for license reminders, sign in or pay. Stripe collects it at checkout on its own page and gives it back to us when the payment succeeds.
- Your profile, which you type in: the license number you set up under, your statement that you hold it or act for its holder, the name for your ads, brokerage name, phone for ads, your broker’s IABS link, up to 12 counties, your reminder choice, and whether your kit pages are published.
- Misuse checks. After a purchase we compare the payer’s name held by Stripe and your email’s domain with the license record, by a fixed rule. If they clearly differ, a person reviews it; nothing changes for you. When someone uses a page’s “This isn’t me” link we keep the report and a one-way code made from their network address, so one address cannot pause many pages. These records are kept for 24 months.
- Your photo, if you upload one (up to 2 MB). We re-encode it as a small square image, remove its location and other hidden data, and store only that copy.
- First-year calendars: a buyer’s first name, a county and a closing date, entered by the member. Nothing else about the buyer.
- Payments: Stripe processes your card. We never see or store your card number. We keep the plan, amounts, dates, payment references and your agreement to the terms.
- Our emails to you: what we sent and when, so we can keep the Missed Date Guarantee and honour unsubscribes.
- Network address: used for a short time to limit repeated requests. Those counters are deleted after 2 hours. The license lookup and reminder forms also run a bot check from our hosting provider.
We never ask for, keep or email a homeowner’s email address, phone number or street address. Members send kits themselves; we never receive their client lists.
If we emailed you first
We may email Texas real estate license holders at their business email address about SphereClerk. That address comes from a business contact list of real estate professionals, matched to TREC’s public license records. We keep that list off this website. Each email says how to stop them, by reply or one click, and we honour that on every later send. A personal link in such an email opens a page about your own license; we record only whether that link was opened and used, never who else saw it.
Where it is kept, and who helps us
We use a small number of service providers, each only for its job: hosting, content delivery, bot checks and cookieless page counts (United States); our database (United States); payments (Stripe, Inc., United States); and email delivery (United States). Names of the others are available on request at team@delvir.co. If you use SphereClerk from outside the United States, your information is processed in the United States.
What our hosting provider records
Our hosting provider writes its own request logs (network address, time, page requested and browser type) for security and reliability, keeps them for a short time under its own policy, and we do not use them to identify anyone.
Cookies and analytics
SphereClerk sets only the cookies it needs, and none of them track you: a sign-in cookie and short-lived cookies that carry you through sign-in. It counts page views in aggregate with a cookieless tool that does not build a profile of you; the demo pages have no analytics at all. There are no advertising or social pixels.
What is public
A free license page is reachable only by its private link, expires after 45 days (at most 90 days for a link we emailed), and is not listed by search engines. It shows only what TREC already publishes. A member’s kit pages and first-year calendar pages live at private links that cannot be guessed and are not listed anywhere; anyone with a link can open it and see what the member put on it, including their photo. Members can switch kit pages off at any time.
How long we keep it
- A license record fetched for a lookup: deleted 90 days after it was fetched, unless a member’s account uses it or a live free page still uses it.
- Free license page links: expire 45 days after they are made (at most 90 days for a link we emailed).
- First-year calendars: deleted the moment the member deletes them, and in any case 24 months after the closing date.
- Your photo: deleted the moment you remove it.
- Your account, profile, photo and calendars: deleted within 30 days after you close your account.
- Billing records and your agreement to the terms: kept as long as tax and consumer-protection law requires, used for nothing else.
- Rate-limit counters: 2 hours.
Your rights
Anyone may ask us to see, correct, download or delete the personal information we hold about them, or to stop emails. Members can download everything from their account page. Email team@delvir.co; we answer within 45 days. We will not treat you differently for asking. Details that come from TREC are corrected at TREC; we delete our copy on request.
How we protect it
Data is encrypted in transit, secrets stay on our servers, requests are rate limited, and access is limited to what running SphereClerk needs. No system is perfectly secure. If a security incident affects your personal information, we will tell you, and regulators where required, without undue delay.
Legal requests
We do not sell, rent or trade personal information. We disclose it only where valid legal process requires it, to establish or defend a legal claim, or to prevent imminent physical harm. Where the law allows, we tell you first so you can object. If the business is sold or merged, your information may transfer with it, and the successor stays bound by this policy or tells you before changing it.
What we do not do
- We do not sell your personal information. (CCPA: we have not sold or shared personal information in the past 12 months, and we do not intend to.)
- We do not use your information for advertising, or to email you about other products.
- We do not knowingly collect information from children under 13 (COPPA). SphereClerk is for licensed adults, and any account we learn belongs to a child is deleted.
Visitors from the EU or UK (GDPR)
SphereClerk is offered in the United States only. If GDPR applies to you, we rely on our contract with you for a membership, on your consent for reminders (withdraw it any time), and on our legitimate interest in showing public license records and writing to license holders at business addresses. You may also complain to your local data protection authority.
Changes
We change the dates at the top when we update this policy, and email members about a material change before it takes effect.
